Council staff can help you to arrange a small meeting, sporting or club activity, trade display or a large-scale event, festival or conference. Spaces can by hired by the hour or by the day, subject to availability.
Generally, bookings for meetings need to be made at least two weeks in advance and, for events and functions, applications need to be finalised at least one month prior to the event, and before you advertise the event. Hirers are required to hold public liability insurance.
Hire charges vary according to the status of your organisation and the purpose and duration of the proposed booking. For current fees and charges view council's fees and charges.

Oval 1 (main)

Indoor Sand Arena

This arena is an open unroofed space which with all gates closed is fully fenced. The fencing height is built to meet rodeo standards, therefore perfect for this type of booking although also hireable for equestrian activities. One side has a sloped grass space, providing ample natural seating. Purpose built cattle yards are also attached to this arena and in most yards large water troughs are supplied. Grandstand dining hall

Main pavilion (upper level)

Fergus Scott pavilion
This pavilion is located within the equine area opposite the cattleyards and washbay. It is a large partially enclosed, roofed shed that also includes a room useable as office space during bookings. Trade display pavilions
Two large covered pavilions adjacent to the main pavilion building: Jim Carolan Pav (14m x 24m) and Ray Grace Pav (25m x 50m over two levels) with lighting and power. Flexible use, available separately or combined. View image [JPG 25KB]
Apex building meeting room

Located on Heritage Terrace just inside the showgrounds main entrance, this original building sits high within the facility therefore has great views over the venue and captures lovely breezes. Inside the hall you will find ceiling fans, a kitchenette with refrigerator, uni-sex amenities and tables and chairs to accommodate meetings or gatherings of up to 80 people. The front of the hall provides all access with a ramp and has plenty of on-site parking space next to the building. The Scout Hall is located opposite the Showgrounds Management Office within the equestrian precinct and ideal for small meetings or functions of up to 40 people. The kitchenette includes a wall urn for instant hot water and bar fridge. If a larger fridge is required for catering please advise staff when making a booking so arrangements can be made. Tables and padded chairs are provided, along with a white board. The Hall is air conditioned and has an all access ramp. Equine facilities are serviced by 196 stables, cattle yards, wash bays and shower and toilet facilities. Please telephone ahead if you wish to make a stable booking for an over-night stay.
There are several buildings that exist that do not show on the list of available spaces, such as the poultry, cricket building, badminton hall, Apex training facility and bar areas. These are hired with special conditions.
